Head of Workplace Experience

Your responsibilities 

  • Own and develop Helmes’ workplace experience across offices, remote work, travel, and everyday employee support 

  • Ensure offices are welcoming, functional, safe, and well-managed, with appropriate space, services, routines, and standards to support effective work 

  • Lead office-related services such as reception/support routines, workplace coordination, employee requests, travel support, events logistics, supplies, vendors, and local practical support 

  • Build workplace services as a clear internal service: easy to understand, easy to access, and reliable across locations 

  • Oversee frontline IT/helpdesk support as part of the wider workplace service model, ensuring that technology-related support is reliable, user-friendly, and well integrated with office and employee services 

  • Directly lead office specialists and IT helpdesk specialists, setting clear priorities, supporting day-to-day execution, developing people, and ensuring consistent performance and service quality across the team 

  • Manage office locations, leases, workplace design, space utilisation, vendors, and service quality 

  • Lead negotiations with landlords and property partners for office premises, ensuring that lease terms, service levels, costs, and workplace needs are aligned with Helmes’ long-term requirements 

  • Own office-related budgets and forecasts, including cost planning, tracking, and reporting for office premises, workplace services, vendors, and related operational expenses 

  • Ensure health, safety, and compliance standards are met across workplaces continuously 

  • Drive practical sustainability improvements connected to workplace footprint, efficient space usage, and ISO14001 expectations 

  • Use data and feedback — such as utilisation, cost per employee, request volumes, and employee experience signals — to improve services and make better decisions 

  • Lead workplace-related changes with clear communication, strong adoption, and a positive impact on the people using the services 

What we’re looking for 

  • You have a strong understanding of how physical workplaces, practical support services, and employee experience contribute to effective work 

  • You are a pragmatic, hands-on leader who can translate service expectations into clear operating practices and measurable improvements 

  • You have experience in workplace experience, office management, facilities, people operations, global office services, or practical internal operations across multiple locations 

  • You understand how to balance global consistency with local flexibility in a decentralized organization 

  • You can turn varied local practices, recurring requests, and informal routines into clear services, standards, and support channels that people understand and trust 

  • You are strong in stakeholder management and can work naturally with senior leaders, office teams, IT, HR, vendors, and employees 

  • You are comfortable owning both strategy and hands-on execution 

  • You use data, feedback, service quality indicators, and practical judgement to improve services and support decision-making 

  • You can simplify operational complexity and establish clear priorities across locations, stakeholders, and service areas 

  • You are comfortable working with IT and frontline support teams, but your core strength is in leading high-quality workplace services and employee support across an international organisation
